The challenge
The problem we set out to solve.
A paint and flooring contractor ran its entire operation on paper forms, emailed PDFs and a sprawl of spreadsheets. Every job began as a quotation PDF, then moved through site inspection, measuring, material ordering and a final key handover, with the data re-typed by hand at each step.
Nobody had a single, reliable view of the business. Overdue jobs, low stock and stalled deliveries only surfaced once they had already turned into problems, and the office and the field were rarely looking at the same numbers.
They needed one system to hold the whole operation: the forms, the projects, the inventory, the field crews and the people managing all of it, with each role seeing only what it should.

Quotation to project in seconds
Authorized users upload a quotation PDF and the system parses it into a structured, fully editable project record covering addresses, line items, work hours, dates and scope. Every extracted field can be corrected inline, and a price-removed version is generated automatically for sharing with clients.

The full job lifecycle in one place
Each project carries its complete form trail, from initial quotation and validation through site inspection, measuring and key handover, with photos and an audit log of who changed what and when. Key milestones such as measuring sent and floor delivered are tracked by date, several captured automatically.

Inventory and logistics that reconcile themselves
Stock is managed from warehouse entry to on-site delivery. Site workers request materials, drivers confirm pickup and delivery with timestamps, and stock is deducted on dispatch. The system raises alerts when any item drops below threshold or a delivery stalls for more than 24 hours.

Resource allocation without the clashes
The platform tracks crew availability from assigned projects and estimated durations, suggests suitable people by location and schedule, and blocks double-booking by flagging conflicts before anyone is assigned.

A dashboard built to surface exceptions
Leadership gets one role-aware view: color-coded project status, performance across day, week and month, a live map of active sites with status-colored pins, and prominent alerts for overdue projects, low inventory and missed deadlines, plus an automated daily report by email.
